The Role
We are seeking a proactive and organised Office Administrator to join our team. Reporting directly to the Executive Assistant to Directors, you will play a pivotal role in ensuring the smooth and efficient operation of our office. Your responsibilities will encompass a range of administrative and facilities support tasks, contributing to a positive and productive work environment.
Key Responsibilities
- Coordinate and process all travel bookings for employees, including international flights, hotels, car hire, and taxi arrangements.
- Prepare meeting rooms and refreshments for customer demonstration visits to both sites.
- Greet customers and organise lunch bookings for meetings.
- Place timely orders for office supplies, including milk, coffee, drinks, fruit, and cleaning cupboard stock.
- Assist with future office/building expansion, office moves, desk setups, and other workspace management tasks.
- Ensure the IT assets management tracker is up to date.
- Sort incoming post, scan, and send to relevant individuals.
- Provide quality administrative support to the office, admin, facilities, and H&S functions.
- Support the wider team with other ad hoc duties as required.
- Support offboarding processes, including organising gifts, presentations, and ensuring equipment is returned.
- Administer NDAs for on-site visitors.
- Support in the organisation of the social events calendars.
Your Skills
- Proven experience in office administration or a similar role.
- Strong organisational and time-management skills.
- Excellent written and verbal communication abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Ability to handle multiple tasks simultaneously and prioritise effectively.
- Attention to detail and accuracy.
- Ability to work independently and as part of a team.
- Discretion with confidential information.
